Connecting a Gmail Inbox

Summary

Gmail and Google Workspace accounts connect in one click. On the Choose provider screen pick Gmail and tap Sign in with Google; authentication happens in Google's own secure window, so you never type your Google password into Mailboard AI. Once you approve access, the inbox is added and its important emails start appearing on the board. If you also signed in to Mailboard AI itself with Google, the app offers to link that same address as an inbox in a single tap.

Features

  • Sign in with Google — one-click authentication handled in Google's window; no password or app-specific password is entered in the app.
  • Personal and Workspace — works with both personal @gmail.com addresses and Google Workspace (custom-domain) accounts.
  • Link from sign-in — if you registered or signed in to Mailboard AI with Google, a prompt asks "You signed in with Gmail (you@gmail.com) — do you want to link this inbox to this board now?" with a Yes, link my Gmail account button.
  • Per-inbox colour — the Gmail inbox gets its own board colour you can change later (see Settings).
  • Privacy — the connection is stored encrypted on your device; no email is kept on our servers.

Scenarios

Link a Gmail inbox from the Choose provider screen

  1. Open Add inbox — from onboarding tap Add first inbox, or later go to Settings → Email Inbox Configuration → Add inbox.
  2. On the Choose provider screen pick the Gmail card.
  3. Tap Sign in with Google.
  4. In Google's window, choose your account and approve access.
  5. The inbox is added and its important emails begin appearing on the board.

Link the Google account you signed in with

  1. When you sign in to Mailboard AI with Google, a prompt appears: "You signed in with Gmail (you@gmail.com) — do you want to link this inbox to this board now?"
  2. Tap Yes, link my Gmail account.
  3. The Gmail inbox is linked with no further steps.

If sign-in fails

  1. If you see "Sign in with Google failed. Please try again.", tap to retry — this is usually a transient network or pop-up issue.
  2. Make sure pop-ups / the sign-in window are allowed, then attempt Sign in with Google again.
