Mailboard AI User Manual
Summary
Mailboard AI is a smart email board that gathers the important emails from all of your linked inboxes — Gmail, Microsoft/Outlook, Apple iCloud, and any IMAP provider — and pins them to a single cork board as sticky notes. An AI model classifies every incoming email as important or promotional, so only the messages that matter are shown as stickers while marketing clutter is filtered away. Each sticker carries a coloured needle (red = unread, yellow = read); flicking the needle marks the email read and removes the sticker from the board. You can open and read a message, draft a reply with AI, pin emails into named Focused sections, jot down free-form Todo stickers, mark favourite senders, and tune classification with a whitelist / blacklist. AI features run either on Mailboard AI's managed cloud (via a subscription) or against your own API key for Anthropic, OpenAI, Gemini, or OpenRouter. All inbox credentials are stored encrypted on your device — no email is kept on our servers.
What the board does
- One board for every inbox — important emails from all linked accounts appear together as colour-coded stickers, one colour per inbox.
- AI classification — every email is rated important or promotional; only important ones are pinned, keeping the board free of marketing noise.
- Needle metaphor — a red needle means unread, a yellow needle means read. Move the needle down to mark the email read and take its sticker off the board.
- Read, reply & compose — open the full email, write a new message, or draft a reply (optionally written for you by AI), with per-inbox signatures.
- Summarise long threads — turn a long back-and-forth email into key points, the people involved, and a ready-to-use suggested reply (see Summarising a long email thread).
- Focused (Pinned) sections — drag stickers into named accordion sections to keep a working set of emails in view.
- Todo stickers — pin free-text reminders next to your emails.
- Filters & favourites — show only unread, only favourites, or only your top senders; star senders you care about.
- Insight — daily usage charts, top-10 senders, and statistics about how your mail is being classified.
- Privacy first — inbox configurations are encrypted on-device; no email body is stored in our cloud.
Getting started in three steps
- Configure AI classification — choose a managed AI subscription or enter your own provider API key (see AI Model Setup).
- Add your first inbox — link Gmail or Microsoft with one click, connect iCloud with an app-specific password, or enter IMAP server details (see Inboxes).
- Work the board — read, reply to, pin, and clear the important emails as they arrive (see The Email Board).
